GDPR
The General Data Protection Regulation (GDPR) is a piece of EU legislation designed to give individuals more control over how their personal data is used by organisations and professionals. As a registered therapist, I am committed to ensuring that your information is handled ethically, transparently, and with your privacy and safety in mind.
What Data Do I Collect and Why?
To provide a safe and effective therapeutic service, I collect the following personal information:
-
Your full name
-
Contact details (phone number and/or email) – used for booking sessions, cancellations, or schedule changes
-
Dates and times of session bookings
This information is stored securely on a password-protected Outlook system and retained for a minimum of 7 years, in line with professional and legal requirements.
During our initial assessment and throughout the therapy process, I may also collect the following information to support your care:
-
Age and date of birth
-
Home address
-
Relationship status
-
Brief details of the issues bringing you to counselling
-
Relevant information discussed during sessions
-
Notes on therapeutic strategies or approaches used
All notes and records are treated as confidential and are stored securely. They are never shared with third parties without your explicit consent, except in circumstances where I am legally required to do so or where there is a risk of serious harm to you or others.
Your Rights
You have the right to access the data I hold about you, to request corrections, or to ask for it to be deleted, subject to certain legal and ethical exceptions. If you have any questions or concerns about how your data is managed, please don’t hesitate to get in touch.
A full privacy policy is available on request.
Record keeping & data protection
I keep brief session notes to support the therapeutic process (and my memory); these are anonymised and stored securely electronically.
I keep clinical notes in accordance with the Data Protection Act 2018 and GDPR requirements. My professional insurance requires that I retain anonymised notes for seven years, after which they are securely destroyed.
I am registered with the Information Commissioners Office (ICO) – Registration number: ZB864277.
Use of technology & online sessions
When conducting sessions online, I use platforms such as Teams and WhatsApp Video Call, both of which state they are GDPR compliant.
While I take every reasonable step to ensure the integrity and confidentiality of your date when using these platforms, please not that no online platform can be guaranteed to be 100% secure. By agreeing to online counselling, you acknowledge and accept this risk.
